User Case: How to Migrate Content from Box to Google Shared Drives?

Switching from Box.com to GDrive

I work in a company with 50-100 users. We've been using Box.com extensively for years.

it works but the waterfall permission is a pain, the search does not work too well and the customer support is bad.We have hundreads of thousands docs, organized in folders, with permissions set for departments and all.

I'm toying with the idea of switching to GDrive (as we're Google Workspace based), but i'm not too sure as i don't particulartly good feeling with it when i use it for personal use.

Anyone has done the switch from Box/Dropbox/Onedrive ? What's the feedback?

Why Migrate from Box to Shared Drives?

Box to Shared Drives
Box to Shared Drives

Before jumping into the "how", let’s talk about the "why". Why even bother moving from Box to Shared Drives in the first place?

Cost Efficiency

Box can get pricey, especially for larger teams. Google Shared Drives come bundled with Google Workspace, making them a more budget-friendly option for organizations already using Gmail, Docs, and Sheets.

Centralized Collaboration

Shared Drives are built for teams. Everyone on the team automatically gets access, and files stay put even if someone leaves the company. It’s like having a shared digital filing cabinet — but way smarter.

Pre-Migration Checklist

Migrating is more than just dragging and dropping files. You’ll want to prep your environment to avoid a chaotic mess later.

Audit Your Box Environment

Go through your current folders, files, and permissions. Identify what's still relevant and what can be left behind. No point in moving digital junk, right?

Classify and Organize Data

Label sensitive, confidential, or large files. You might even want to break down the data into phases for easier migration.

User Mapping and Permissions

Make sure you have a clear map of who needs access to what. Permissions in Box and Shared Drives don’t work the same way, so you’ll need to translate them properly.

Top Way #1: Using Google Workspace Migrate Tool

Google Workspace Migrate
Google Workspace Migrate

It’s Google’s own migration tool designed to help admins move content from various platforms — including Box — into Shared Drives. It takes a little tech-savviness, but once it’s configured, it runs pretty smoothly.

Step 1: Download and Install

Download the tool from the Google Workspace Admin Console. Install it on a supported Windows server.

Step 2: Configure Source and Destination

Set up your Box account as the source and your Google Workspace environment as the destination. You’ll also need to authenticate and grant the proper scopes.

Step 3: Run the Migration

Choose the files or folders you want to migrate. You can schedule it for off-peak hours to minimize disruption.

Best Practices for a Smooth Migration

Run Test Migrations

Test with a small set of data first. It helps catch surprises before you move everything over.

Communicate with Users

Let your team know what's happening and when. Clear communication reduces confusion and helps adoption.

Monitor and Validate Data Post-Migration

After the move, check if all files made it across and permissions are correct. Spot-check a few folders to be sure.

Conclusion

Migrating from Box to Shared Drives doesn’t have to be painful — as long as you pick the right method for your needs. Whether you're leaning toward the Google Workspace Migrate tool for its official support or a third-party solution for simplicity, the key is planning ahead and executing carefully. Follow the steps, test before going all in, and you’ll have your digital world moved over in no time.
