How to Transfer data between Team Clouds with MultCloud?

In this tutorial, we will teach you how to transfer data between team clouds with MultCloud.

If you are the administrator of business clouds, you can use the Team Transfer feature to easily migrate all accounts from one business cloud to another. For example, each user will have a folder of their own in a cloud platform, MultCloud can automatically pair the folder from two different business clouds and migrate the files from one cloud to another.

To transfer files between team clouds

Step 1: Log in MultCloud, then click “Add Cloud” feature to add the business clouds you want to transfer data. Then click “Team Transfer” tab.

Step 2: Select source cloud and target cloud. Click “Add Source Cloud” and “Add Target Cloud”, then it will list the business clouds you added.  Tips: It supports Google Workspace, OneDrive for Business, Dropbox Business, Box for Business, Shared Drive currently.

Step 3: After adding source and target clouds, it will list all domains under the business cloud and related user accounts under every domain. Then you can match user-accounts that you want to transfer between the source and target cloud. There are three ways to match.

Auto-Match: It will automatically match the user accounts with the exact same user-account name and domain name in the source and target cloud.

Upload CSV: Pairing of user accounts based on the uploaded CSV file. The matching user accounts do not have to be the exact same name and domain name, here you can freely combine them.

Download CSV: If there is already an account matching group in the user-account matching column, click the Download CSV button can export the CSV file of the current successfully matched user-account matching group.

Manual-Match: You can also manually select user accounts from the source and target cloud to match them. The matching user accounts do not have to be the exact same name and domain name, here you can freely combine them.

Step 4: After matching user-accounts, click “Transfer Now” to start transferring.

After clicking the "Transfer Now" button, the team transfer will be added to Task List. You can see the details of the transfer process under Task List.  And, you can click the arrow icon of the team transfer task to unfold it and check the transfer details of every user account.

Tips: it can only transfer one user account folder at a time, the others are in the waiting status.

To schedule team transfer task

If you want to transfer the user data regularly, you may enable "Schedule" so that you can transfer your important data regularly and automatically.

Step 1: When you create a new team transfer task, you will see the "Schedule" option.  Or if you have created the team transfer task but you have not enabled the "Schedule" feature, you can enable it under Task List: click the three-line button of the corresponding task then select “Schedule”.

Step 2: Set the schedule mode. It supports Daily, Weekly and Monthly.

Daily: Run only once: Set a time point in the future to perform the transfer task only once.  Run Every day: Set a time point to perform the transfer task once a day. You can set three different times to run the transfer task three times a day. Weekly: Choose a specific day for the transfer task from Monday to Sunday. And then, set a time point. So it will automatically perform the transfer at this time on the chosen day(s) every week. Monthly: Choose a time point on a specific day from the calendar to perform the transfer task every month and you can select multiple days on the calendar.

Step 3: Click “Save” to enable schedule for the task.

If you set up a schedule task when create a team transfer task, after selecting source account and target account, you can choose to Add Task Only or Add Task and Transfer Now.

More configuration for the team transfer task

You could specify some additional settings for the team transfer under "Options".

1. Transfer options:

If the destination location contains the same name of the source files, you can choose the following solutions to handle it. Skip the file. (When you do not want to transfer the same name of the source files to target directory, you could tick this option.) Overwrite if source newer. (This option will overwrite the old date of the files on target directory to save the new date of the files.) Overwrite if different size. (The source file will overwrite the file in the target directory, no matter which one is larger or smaller.) Overwrite if different size or source newer. (The target files will be overwrite when the time or size is different.) Always overwrite. (The target files always be overwritten.) Rename. (The target files always be renamed.)

Delete all source files after transfer is complete: if you want to clear transferred files in source drive after the transfer task is completed successfully, please tick the option.

Keep file modification date (Supports Dropbox, Google Drive, G Suite): it can helps you keep the original file modification date for transferred files in destination when you transfer files to Dropbox, Google Drive or G Suit. 

Automatically rename the files with special characters and generate a script file: if the option is checked, when some files in the source have special character in file name that is not allowed in the target cloud drive, these files will be renamed automatically during the transfer process and a log.html file will be created in the root directory of destination to record these files.

Keep all transferred files in one folder: If this option is activated, all transferred files will be kept in one folder of the target cloud. For example, the source directory is Google Workspace\simon@multcloud.com, and the target directory is OneDrive for Business\peter@multcloud.com, all files in Google Workspace\simon@multcloud.com will be transferred to OneDrive for Business\peter@multcloud.com\simon@multcloud.com. If this option unchecked, there is no simon@multcloud.com sub-folder under OneDrive for Business\peter@multcloud.com folder, it will directly put all files under Google Workspace\simon@multcloud.com to OneDrive for Business\peter@multcloud.com.

In unattended operations, a notification can be emailed containing the result of the task when you enable “Email Notification”.

3. Filter

If you want to filter some specific type of files on the source directory, you can enable this option to include or exclude files of a particular type. Specify files that you need to ignore/include. For example, enter a file extension mp4, then add it. So, it will not transfer mp4 files of source directory. Or, only transfer mp4 files of source directory.

1. It can only execute one team transfer task simultaneously. 2. If you are a free MultCloud user, you can create 3 pairs of user accounts in a team transfer task, while paid MultCloud account can support 1000 user accounts from business cloud to transfer in a team transfer task.
